Scouts Hereford & Worcester  Contingent Leader to Kandersteg – 2028 Event

Role Overview:

The Scouts Hereford and Worcester Contingent Leader will lead our Scout contingent attending Kandersteg International Scout centre in 2028, ensuring all youth members and volunteers’ safe, enjoyable, and successful participation. The role includes overall responsibility for planning, coordinating, and delivering an outstanding international experience, adhering to the values and standards of The Scout Association.

Key Responsibilities:

1. Strategic Leadership:
   • Provide strong leadership to the the contingent, overseeing the planning, preparation, and delivery of the event.
   • Set and communicate clear objectives for the contingent, ensuring alignment with the event’s vision and Scouting values.
   • Act as the primary representative for the the Scouts Hereford & Worcester contingent, liaising with international organisers, Scout HQ, and other national and international partners.
2. Planning and Logistics:
   • Lead the planning process, including budgeting, transport, accommodation, and event programming, ensuring all aspects are meticulously organised.
   • Ensure all contingent members are adequately prepared for the event through briefings, training, and information sessions.
   • Coordinate travel arrangements and ensure appropriate measures for the safety and wellbeing of all participants.
3. Team Management:
   • Recruit, select, and manage a diverse and capable adult leadership team, ensuring the team is equipped with the skills and resources to support the contingent.
   • Foster a positive, inclusive, and supportive environment within the contingent, encouraging participation from Scouts of all backgrounds.
   • Facilitate regular communication and updates with the leadership team, participants, and their parents/guardians.
4. Safety and Safeguarding:
   • Ensure compliance with The Scout Association’s safety, safeguarding, and risk management policies throughout the planning and delivery stages.
   • Conduct risk assessments for all contingent activities and ensure contingency plans are in place for emergencies.
   • Promote and maintain a culture of safety, ensuring all participants and leaders are aware of their responsibilities.
5. Financial Oversight:
   • Develop and manage the budget for the contingent, ensuring financial accountability and transparency.
   • Oversee fundraising initiatives and support participants in achieving their individual fundraising targets.
   • Ensure that financial records are maintained accurately and all spending is in line with the approved budget.
6. Participant Development:
   • Create opportunities for personal growth, leadership development, and skill-building for all youth participants.
   • Foster an international spirit, helping Scouts to engage with and learn from different cultures.
   • Encourage participants to act as ambassadors of UK Scouting, promoting positive relationships and global citizenship.
7. Post-Event Legacy:
   • Lead the evaluation and reflection process after the event, capturing lessons learned to inform future international Scouting events.
   • Promote the long-term impact of the event by encouraging participants to share their experiences with their local Scouting communities.
   • Support participants in maintaining connections with international friends and partners formed during the event.

Key Skills and Experience:

• Leadership Experience: Proven leadership experience within Scouting, preferably having led or participated in previous international expeditions or events.
• Organisational Skills: Strong project management skills, with experience in planning large-scale events, including budgeting, logistics, and team coordination.
• Safety Management: Knowledge and experience of Scouting’s safety and safeguarding protocols, with a focus on risk assessment and mitigation.
• Communication Skills: Excellent interpersonal and communication skills, with the ability to engage with a diverse range of stakeholders, including young people, parents, volunteers, and international partners.
• Financial Acumen: Experience in managing budgets and fundraising efforts, ensuring financial accountability and sustainability.
• Cultural Awareness: Demonstrable ability to promote and respect cultural diversity, with experience in fostering international partnerships and relationships.

Commitment:

• This is a voluntary role with a significant time commitment, particularly in the lead-up to the event. The Contingent Leader will be required to attend regular planning meetings, training weekends, and the event itself. Occasional travel for national and international meetings may be required.

Term of Appointment:

• The appointment will be from January 2025 to December 2028, including post-event debriefs and report submissions.
