ShireJam Core Team Leader (Individual or shared role)
Location:
Various locations across the county (with flexibility for virtual meetings)
Time Commitment:
Part-time volunteer role with flexibility, including weekend availability and presence during the ShireJam event.
Expenses:
All expenses paid.
Role Purpose:
The ShireJam Core Team Leader (Individual or shared role) will oversee and drive the strategic planning ready for 2027, coordination, and execution of ShireJam, the county camp for all sections of Scouts Hereford & Worcester. This role involves leading a team of dedicated volunteers, ensuring that the event runs smoothly, adheres to the highest safety standards, and delivers an unforgettable experience for all participants.
Key Responsibilities:
- Strategic Leadership:
Take ownership of the overall vision, strategy, and goals for ShireJam, ensuring alignment with the County’s strategic objectives.
- Team Management:
Lead and support the core team, ensuring effective collaboration between all volunteers. Delegate tasks effectively and ensure accountability within the team.
- Planning & Coordination:
Oversee all phases of event planning, from initial concept to post-event debriefing, ensuring timely delivery of all milestones. Work closely with sub-teams such as programme, logistics, catering, and health & safety.
- Stakeholder Engagement:
Act as a key liaison between the ShireJam team, County Leadership, and external stakeholders, including sponsors, suppliers, and partner organisations. Ensure effective communication across all channels.
- Safety & Compliance:
Ensure that all safety protocols and policies are adhered to throughout the planning and execution of the event. Lead on risk assessments and make sure that health and safety standards are met.
- Budget Management:
Monitor and manage the budget for ShireJam, ensuring that all financial decisions align with the allocated budget. Liaise with the finance team to track expenses and payments.
- Get Involved:
Be prepared to roll up your sleeves and take on tasks where needed, whether it be hands-on support during the event or logistical problem-solving.
- Problem-Solving & Decision Making:
Tackle any issues that arise with quick, decisive action. Use sound judgment to make strategic decisions in high-pressure situations.
Skills & Experience:
- Previous experience in event management or large-scale event planning (experience in Scouting events is a bonus but not required).
- Proven leadership skills with the ability to manage and inspire a diverse team of volunteers.
- Excellent communication and interpersonal skills.
- Strong organisational skills with attention to detail.
- Experience managing budgets and resources effectively.
- Ability to work collaboratively and foster strong working relationships.
- A proactive problem solver who can remain calm under pressure.
- Familiarity with Scouting or similar outdoor/adventure activities is a plus.
